The most successful conference travelers focus on preparation long before they arrive. Booking accommodations near the venue, organizing travel documents, reviewing the event agenda, and building buffer time into travel plans can help reduce stress and create a smoother experience.

For Event Attendees

Attendees often try to pack too much into a conference schedule.

Before you arrive, review the agenda and identify the sessions, speakers, and networking opportunities that align most closely with your goals. Having a plan allows you to spend your time intentionally instead of reacting to the schedule as you go.

I also recommend staying close to the venue whenever possible. The convenience often outweighs any savings from lodging farther away, especially during busy event days.

For Speakers

Speakers face a different challenge.

Arriving at least one day early can provide valuable buffer time in case of delays while allowing time to become familiar with the venue and event schedule. Speakers who arrive rested and prepared are generally able to focus more effectively on delivering value to their audience.

Keep presentation files backed up in multiple locations and carry any essential materials in your carry-on luggage rather than checked baggage.
